1How Quotelatic works#

Quotelatic is a quote request form for service businesses, hosted for you. Your customers describe the job in a few taps, add photos and send it to you. You see everything in your dashboard and reply with your price.

2Getting started#

From sign-up to your first request in about five minutes.

  1. Sign inGo to hub.quotelatic.com/account and enter the email you signed up with. We email you a sign-in link: no password needed.
  2. Set up your businessThe first time, you're asked for your business name, industry, logo, banner photo, phone, WhatsApp number and location. Press Save and create my quote form.
  3. You're in your dashboardYour form is ready. The Overview shows its link, your business page and your plan.
  4. Make it yoursChoose your colours, theme, banner texts and questions under Themes and Settings.
  5. Share itAdd the link to your Google Business Profile, ads and social media, and put the form on your website. See Share & embed.

4Business details#

Dashboard → Business details. Used on your quote form and your page on quotelatic.com, so both always match.

DetailWhere it shows
Business name, logo, banner photoAt the top of your form, in emails, and on your page. Logo: square, a PNG with a transparent background is ideal. Banner: a wide photo of your work or team (about 2000 × 800). You can add both in the first save.
IndustryDecides the questions your form asks. Changing it changes the questions at once; requests you already have keep their answers.
Phone and WhatsAppThe call button on your form and page, and "Send via WhatsApp" for your customers.
City, region, country, areas you serveShown on your form and page. The country also sets your form's phone code, currency and miles or kilometres for a new form.
About, services, why choose you, hours, photos, social linksYour page on quotelatic.com. "About your business" has a text editor: headings, bold, italic, underline, lists, quotes, a dividing line and left, centre, right or justified alignment. Links can't be added.
Page addressquotelatic.com/business/your-name, also used in your form link. If you change it, old links and codes keep working.

Optional extras for your page

  • Badges: pick up to 8, such as "Free inspections", "24/7 emergency call-outs" or "Help with insurance claims". They're shown near the top of your page. The ones that suit your industry are listed first; More badges shows the rest. Pick only what's true for every job.
  • Credentials: your licence or registration number, insurance, warranty, certifications and memberships, and languages spoken. Shown as "provided by the business".
  • FAQ: write a question, then its answer. Add a question adds the next one (up to 10); the arrows change the order. Below it are questions customers often ask in your industry: tap one to add it, then write your own answer. Shown on your page and given to Google.

Colours, banner texts, questions and everything else about the form are under Themes and Settings.

5Industry#

An industry is a ready-made set of questions, texts, pictures and assessments for one trade.

  • Choosing: pick your industry under Business details. Your form is made from it at once.
  • Changing is only for when your business changes trade. Choose the new industry in Business details and save: the form asks the new questions straight away, and older requests keep their original questions and answers.
  • Your own wording: rename, hide or add questions in the dashboard under Settings → Form fields.

6Themes#

Dashboard → Themes. Three designs for your quote page. Questions, photos and sending work the same in all of them.

Classic

Colourful banner, tiles with icons and a side column with trust and contact cards. Friendly and familiar. Suits most trades.

Minimal

A calm white page in one centred column, underlined fields and light pill choices. Suits cleaning, painting, solar and premium services.

Professional

A structured business form: section titles on the left, radio-style choices, square fields, a slim progress bar and navy accents. Suits contractors, logistics and specialist work.

Switching

Press Full preview to see a theme with your own industry, logo and colours. Use this theme switches instantly and changes nothing else.

7Branding#

Dashboard → Themes → Your colours. The preview changes as you pick.

SettingTip
ColoursButtons for the main buttons, accent for steps, links and selected answers, banner for the top section. Use your logo's colours. They apply to every theme.
Name, tagline, logo, banner photo, phoneThese come from your business details, so your form and your page always match.

8Page texts & legal#

Dashboard → Settings → Page texts. Every industry comes with good starter texts. Make them yours.

  • Banner title: wrap words in curly braces to highlight them: Get a {Free Roofing Quote}.
  • Header badges: three lines in the form Title | subtitle, for example Free Quote | No obligation.
  • Why choose us and the help box in the side column: use real strengths you can stand behind.
  • FAQ: one per line, Question | Answer. It's shown under the form.
  • Consent: a required tick box (recommended) or a notice. The box starts ticked; you can switch that off. Each request stores a consent record with the time and wording.
  • Terms & Privacy: link your own pages, or edit the built-in page text. You are responsible for telling your customers how you use their information.

Only promise what you can prove. Avoid words like "licensed", "insured", "certified" or "guaranteed" unless they are true for your business and allowed in your country.

Extra landing pages

Some industries include a second page with its own banner text for ads, for example ?lp=same-day for Courier. You can edit their texts in Page texts too.

9Form fields#

Dashboard → Settings → Form fields, grouped by the steps of your form.

  • Show or hide any question, and make it required or optional.
  • Change wording: the question labels and placeholders.
  • Edit choices: open "Edit choices" under a pick-type question to rename choices, or remove the ones you don't offer. Keep the key at the start of each line (key = Label): the quick assessment uses it.
  • Add your own questions to any step (up to 10): short answer, long answer, number, pick one, pick several, yes/no or date. Tick Highlight to show the answer in each request's quick assessment.
  • Removed questions are kept in the background, so older requests still show their answers.

Fewer questions means more requests. Keep only what you really need to give a first price; ask the rest by phone.

10Price guide (instant ballpark estimate)#

Dashboard → Settings → Price guide. Available for industries priced by size, such as roofing. Off until you switch it on.

  1. Enter your pricesYour price per ft² (or m²) for each material, installed, with tear-off and clean-up. Leave a material empty if you'd rather inspect first.
  2. Set the smallest job and the rangeNo estimate goes below your smallest job. The range (for example ± 15%) sets how wide the estimate is.
  3. Switch it onCustomers asking for a replacement or new roof then see a range like "$10,700 – $14,500" as soon as they've given the size and material. Steep roofs, taller buildings and extra layers to remove are adjusted up for you.

The range is saved with each request as Ballpark shown, so you know what the customer saw. Repairs and inspections never show a price, and customers are told the exact price follows your inspection.

11Region & photos#

Dashboard → Settings → Region & photos. A new form starts with the settings for your country.

Default country codeLocal numbers like (212) 555-0123 or 07700 900123 become international automatically (needed for WhatsApp).
Distance unitKilometres or miles, for route industries (moving, courier and so on) and lengths.
Map start positionWhere the map opens when a customer picks their location. Right-click your city in Google Maps to copy its coordinates.
Quick date buttonsHow many upcoming days show as one-tap buttons. Customers can pick any later date in the calendar.
Furthest bookable dateHow far ahead the calendar goes, for example 365 days.
Satellite viewLets customers switch to satellite photos when drawing an area or a line (lawns, roofs, fences, driveways). Customers find their address or tap My location, then tap the corners or press Start with a rectangle and drag its corners; the size is shown on the map.
PhotosMinimum photos (0 makes them optional), extra photos allowed, and maximum size. Photos are resized on the customer's phone before upload.

The timezone follows the one in your business details. The currency is under Settings → Requests.

12Share & embed#

Dashboard → Share & embed. Your links, a QR code and the code for your website.

Your links

Your form link, quotelatic.com/business/your-name/quote/, works everywhere: buttons, ads, your Google Business Profile, WhatsApp status and social media bios. It works whether or not your business page is switched on. Industries with extra landing pages list them too.

QR code

For vans, flyers, business cards and yard signs. Download it as PNG for print shops or SVG for designers. Scans are marked "QR code" on each request.

On your website

Pick how the form should appear, then press Copy code and paste it into your website, on any page including your home page. The preview shows the result as you change the options.

Inline

The form sits inside your page and grows with its content, so there is no inner scrollbar. Best for a "Get a quote" page.

Popup button

A button that opens the form over your page. You choose the text and colour. Any link to #quotelatic opens it too.

Floating button

A button that stays in the corner of every page. Add the code once, for example in your site's footer.

Basic frame

For website builders that don't allow scripts (Google Sites, some free plans). It has a fixed height; the form scrolls inside it.

Link

A plain button that opens the form on its own page. Works everywhere, including email signatures.

The page has short steps for WordPress, Wix, Squarespace, Shopify, Webflow, Google Sites and plain HTML. The basic inline code looks like this:

Side column: where there's room (about 1,000 pixels or wider, for example in a popup or a full-width section), the embedded form shows its side column too: the request's progress, "why choose us" and the help box. To show the form only, choose Hide it under Side column, or add data-side="off".

For a landing page, add data-lp="same-day" to the div. Always copy the code from your dashboard: it already has your own address in it.

To stop other websites showing your form, list your own domains in Settings → Advanced → Websites allowed to embed the form. Your page on quotelatic.com always keeps working.

Where requests come from

Every request shows a Lead source card: the website page the form was on, and whether the visitor came from Google, Facebook, another website, a QR code or a tagged link. Tag your own links with utm_source and utm_campaign, for example quotelatic.com/business/your-name/quote/?utm_source=facebook&utm_campaign=spring. The CSV export includes the lead source too.

Google Analytics and Meta Pixel

Settings → SEO & tracking: add your GA4 Measurement ID (G-…) and Meta Pixel ID. Each sent request counts as a lead (generate_lead in Google Analytics, Lead in Meta). When the form is embedded on your website, the event is sent through your website's own tags instead, and Google Tag Manager receives a quotelatic_lead event.

Link previews

Settings → SEO & tracking: the title, description and image shown when your form link is shared on WhatsApp, Facebook or LinkedIn. For Google, your page on quotelatic.com (and your own website) is what people find.

13SEO: showing up in Google#

Dashboard → SEO. Your business page and quote page are ready for Google from the start.

  • Titles and descriptions are written for you from your business details (about 50 and 150 characters, the length Google shows). Type your own to replace them; a preview shows how they look in Google.
  • Show in search engines: on by default. Switch it off to ask search engines not to show your pages; people with the link can still open them.
  • Done for you: structured data (your business type, address, phone, hours, services, photos and social profiles), our sitemap, and link previews on WhatsApp and social media.

A page about your business at quotelatic.com/business/your-name, with your quote form at quotelatic.com/business/your-name/quote/. Handy if you don't have a website yet, and for your Google Business Profile and social media.

  1. Fill in your business detailsDashboard → Business details: about text, services (one per line, Name | short description), opening hours, photos of your work and social links.
  2. PreviewPress Preview page to see it before anyone else can.
  3. Switch it onTurn on Show my page on quotelatic.com and save.

The quote page shows your full form, with your banner, steps, help box and "why choose us". Requests from it arrive like any other: by email, on WhatsApp and in your dashboard, marked "Your page on quotelatic.com". The page is shown while your plan is active.

Real photos of finished jobs and honest opening hours build more trust than long texts.

15Receiving requests#

Dashboard → Settings → Requests.

  • Your email address(es): where requests are emailed, with their photos. It starts as your account email; separate several addresses with commas.
  • Send via WhatsApp: with your WhatsApp number in your business details, the customer's WhatsApp opens with the full request ready to send to you. It's the fastest way to get a reply.
  • Also email me requests sent via WhatsApp: recommended, so every request is also in your inbox.
  • Copy to the customer: they can receive their own copy with a link to their request page.

Every request is always saved in the dashboard under Quote requests, whichever way it was sent. Emails come from Quotelatic's own mail server with your business name as the sender, so there is nothing to set up.

16Handling a request#

Dashboard → Quote requests → open a request.

  • Quick assessment: coloured flags show what matters at a glance, such as size, urgency, access or photos. Each industry guide explains its flags.
  • Details and photos: every answer, the photos (tap to enlarge) and maps with directions for addresses.
  • Contact buttons: call, WhatsApp or email the customer in one tap.
  • Internal notes: only you see them.
  • PDF and HTML: download the request as a PDF file with its photos, or as one HTML file that opens in any browser, even offline. Print prints the quote page.
  • Activity: a timeline of everything that happened.

Statuses

New Contacted Quote sent Booked Completed Lost / declined

Set the status as the job moves along. The Overview page shows your numbers, and the requests list can be filtered by status.

17Sending your quote#

  1. Enter your priceIn the "Your quote" box of the request.
  2. Check the messageIt's written from your industry's message template, with the customer's name, the job and your price filled in.
  3. Send on WhatsAppWhatsApp opens with the message ready. The status changes to "Quote sent".

Change the message template in Settings → Requests. Placeholders: {name} {title} {ref} {amount} {business} {phone}.

Reply within the first hour when you can. The first business to send a clear price usually wins the job.

Export

Export CSV on the requests page gives a spreadsheet of all requests (or the filtered ones) for Excel or Google Sheets.

18Plan & billing#

  • Plans: monthly (with a free trial), yearly or every 2 years. Every plan has every feature.
  • Change plan: Dashboard → Plan & billing → Upgrade or Switch. The difference is charged or credited straight away; a free trial carries on until it ends.
  • Cancel: Cancel plan stops it renewing. Everything keeps working until the end of the period you paid for, and Keep my plan undoes it any time before then.
  • Start again: after a plan has ended, Start a new plan with the same email: your form, page, requests and settings come back at once.
  • Card and invoices: Plan & billing → Card & invoices.
  • If your plan ends: your form goes offline and your page is no longer shown. Your requests and settings are kept, you can still open your dashboard and export them, and renewing puts everything back online at once.
  • Refunds: within 14 days of any payment. See the refund policy.

19Safety & backups#

  • Backups: your requests, photos and settings are backed up every day. Use Export CSV any time for your own copy.
  • Sign-in: one-time links sent to your email, so there's no password to forget or leak. Keep your email account secure.
  • Spam protection is built in: a hidden trap field, a minimum time to fill the form and a limit of requests per visitor (Settings → Advanced).
  • Privacy: photos are stored privately, request pages need a secret link, and the dashboard can't be shown inside other websites.

20Troubleshooting#

Request emails don't arrive

Check the address in Settings → Requests and look in your spam folder; mark the first email as "Not spam". Every request is also in your dashboard.

WhatsApp doesn't open, or opens the wrong number

Your WhatsApp number in your business details must be international, digits only, for example 14155550123 (US) or 447700900123 (UK), without + or spaces.

"Use my current location" doesn't work

The customer must allow location in their browser. They can always type the address or pick it on the map instead.

The form doesn't show on my website

Paste the code into an HTML, Code or Custom HTML block, not a text block. If your website builder doesn't allow scripts, use Basic frame or Link in Share & embed. If you listed websites under Settings → Advanced → Websites allowed to embed the form, make sure yours is there.

My form says it's not available

Your plan has ended or a payment didn't go through. Open Plan & billing in your dashboard. Your requests are kept.

The dashboard asks me to sign in again

Go to hub.quotelatic.com/account. If you're still signed in, the dashboard opens at once; otherwise ask for a new sign-in link.

Changes don't show on my page

Your form updates at once. Your page on quotelatic.com can take up to 5 minutes. Clear your browser cache if needed.

21FAQ#

Do I need hosting or a website?

No. Your form has its own link, and your page on quotelatic.com works as a simple website. If you have a website, add the form to it with one line of code.

Do my customers need an account?

No. They fill in the form and send it. They can open their request again with the private link they receive.

Can I use it in another language?

Most texts customers see can be changed: page texts in Settings → Page texts, and questions and choices in Settings → Form fields. Set the page language code in Settings → SEO & tracking.

Where is my data stored?

On Quotelatic's servers, private to your business, and backed up daily. We never sell it or contact your customers. Maps and address search use OpenStreetMap services. See our privacy policy.

Can I run two kinds of service?

Each plan is for one business with one industry. For a second business or trade, start a second plan with another email address.

What happens to old requests if I change industry?

They keep their original questions and answers. Nothing is lost.
