Why these questions

  • No heat or no cooling is flagged hot: those customers book with whoever answers first.
  • Symptoms (won't turn on, warm air, leaks, tripping) point to the likely fault before the visit.
  • System age over 10 to 15 years makes replacement worth offering.
  • Home size, floor area and storeys size the new system; ductwork decides between ducted and ductless.
  • The data plate photo gives the model, size and refrigerant.

3Set it up#

  1. In your dashboard, open Business details, choose HVAC as your industry and save. Your hvac form is ready straight away, with the settings below in Settings.
  2. Settings → Form fields: remove systems you don't work on (for example boilers or air quality).
  3. Settings → Prices & tax: add your diagnostic fee, tune-ups and common installs.
  4. Settings → Page texts: mention brands and certifications only if they're true for you.

Recommended theme: Midnight

A calm, modern look suits heating and cooling brands; switch to Classic if you prefer a lighter page.

5Reading a request#

Each request opens with a quick assessment: coloured flags for what matters most in this trade.

  • Urgency: No heat, No cooling is flagged as a bigger or more valuable job; Working, but not well is flagged as needing attention (cost, access or risk).
  • Service: Replace my system, New installation is flagged as a bigger or more valuable job.
  • System age: 10 to 15 years, Over 15 years is flagged as needing attention (cost, access or risk).
  • Problem: Water leak or ice on the unit is flagged as needing attention (cost, access or risk).
  • Ductwork: No is flagged as needing attention (cost, access or risk).
  • Home size: 5+ bedrooms, Business premises is flagged as a bigger or more valuable job.
  • Photos: green when every photo tile is filled, amber when only some are.
  • Visit: highlighted when it is today or tomorrow, so you can plan quickly.

What to look at first

  • No heat / no cooling is flagged hot: call back fast, especially in a heatwave or cold snap.
  • Over 15 years old is flagged: offer a replacement quote alongside the repair.
  • No ductwork is flagged: price ductless or new ducts.
  • Trips the breaker is flagged: an electrical fault may be involved.

6Pricing your quote#

Price repairs by diagnosis and parts, and new systems by size, type and installation.

  • Repairs: a diagnostic fee plus parts and labour.
  • Replacements: equipment sized from home size and floor area, plus installation and removal of the old unit.
  • Mini-splits: by the number of zones.
  • Tune-ups and maintenance plans: a set price.

These are ways to think about price, not market prices. Use your own costs and local rates.

7Messages to customers#

Your quote message is filled in automatically when you send a quote on WhatsApp. This is the starter template (Settings → Page texts):

8Get more requests#

  • Seasonal ads ("AC repair" in early summer, "furnace tune-up" in autumn).
  • Remind past customers about yearly tune-ups.

9Launch checklist#

  • Systems you don't service removed.
  • Diagnostic fee in your price list.
  • Only real certifications mentioned.
  • Send one test request from your phone and check it arrives by WhatsApp and email.
